What an AI Keynote Costs in 2027

Budget is usually the first hard question in speaker planning, and it is often the one with the least clear answer. Speaker fees are rarely posted, and the number you hear first may not include everything you will actually pay.

This article explains how we think about AI keynote fees at our bureau, what changes the final number, and how to get a quote you can take to your budget meeting. If you are building a 2027 event budget now, this should give you a solid starting point.

Our Fee Bands

Rather than publish a single price for each speaker, we group our roster into fee bands. Each speaker’s profile shows the band they fall into. The bands are:

  • $5K-$10K
  • $10K-$20K
  • $20K-$30K
  • $30K+

For virtual sessions, fees are inquire. Virtual pricing depends on length, format, and the level of customization, so we quote it case by case.

What Moves a Fee

Two events can book the same speaker and pay different amounts. That is normal. Here are the main reasons why.

Travel

Where your event is and how the speaker gets there affects the total cost. A speaker who can fly in the morning of the event and home that night has a simpler trip than one who needs two nights in a hotel and a connecting flight. International events add more time and more cost.

Customization

A standard keynote already includes some tailoring, such as a planning call and examples suited to your audience. Deeper customization takes more time. That might include building content around your company’s internal AI rollout, interviewing your leaders beforehand, or creating new material for a specific industry. The more preparation a session requires, the more it may affect the fee.

Workshops Added

Many planners pair a keynote with a breakout workshop or a leadership session. Adding a second session on the same day is usually more cost-effective than booking it separately, but it does add to the total. Ask about package options when you request a quote.

Date

Some times of year are busier than others for speakers. If your date falls during a heavy conference season, or if you are booking on short notice, expect less flexibility. Booking early gives you the widest choice of speakers and the most room to work within your budget.

Exclusivity

Some organizations ask that a speaker not present to a direct competitor within a certain window of time. That kind of exclusivity limits the speaker’s other bookings, so it is typically reflected in the fee.

Recording Rights

If you want to record the session, the terms matter. Recording for internal archive use is often straightforward. Recording for public distribution, paid on-demand access, or ongoing use in training programs is a different arrangement. Raise this early so it can be built into the agreement.

What “Plus Travel” Means

You will often see a fee quoted as “plus travel.” This means the speaker fee covers the speaker’s time and content, and travel costs are handled separately.

Travel typically includes:

  • Airfare
  • Hotel
  • Ground transportation to and from the airport and venue
  • Meals while traveling

Some speakers bill actual travel costs after the event. Others use a flat travel fee agreed on in advance, which makes budgeting simpler. Either way, ask which approach applies so there are no surprises later. Your contract should state clearly what is included and what is not.

Deposits and Holding a Date

Once you choose a speaker, a deposit is typically requested to hold the date. Until a contract is signed and a deposit is received, the date is usually not reserved, and another event could book it.

The remaining balance is generally due closer to the event. Specific terms, including deposit amount, payment schedule, and cancellation policy, are set out in the contract. Read those terms carefully and ask questions before you sign. A good bureau will walk you through them.

How to Plan a Realistic Budget

When you build your speaker line item, include more than the fee itself. A complete budget usually covers:

  • The speaker fee, based on the band
  • Travel, whether billed at cost or as a flat amount
  • Any added workshops or sessions
  • Recording rights, if you need them
  • Audio and visual needs the speaker requires, which your venue or production team may provide

Matching Fee to Purpose

Fee is one factor, not the only one. A speaker in a higher band is not automatically the right choice, and a speaker in a lower band is not automatically a compromise. What matters most is fit: the right message, at the right level, for your audience.

  1. Your event date, or a short list of possible dates
  2. The city and venue, or whether the session is virtual
  3. Your audience: size, roles, and how familiar they are with AI
  4. The format you have in mind: keynote, workshop, fireside, or a combination
  5. Any special requests, such as exclusivity or recording
  6. Your budget range, if you have one
