Booking timeline
Most conferences book keynote speakers four to nine months out. Popular dates (spring and fall conference season) go first, so earlier is better.
Short notice is not a dealbreaker. Send your date and we will tell you within 24 hours who is open.
What the fee includes
A pre-event call with your speaker to learn your audience, goals, and the rest of your agenda.
Customization of the session to your industry and attendees, including your terminology and examples.
The session itself, plus reasonable time before or after for a green room meet-and-greet when the schedule allows.
Fees are quoted plus travel. Travel is typically airfare, ground transportation, and hotel, either booked by you or billed at cost. We confirm the arrangement before you sign.
Contracts and deposits
Once you choose a speaker and date, we send a straightforward agreement covering the date, format, fee, travel terms, and recording rights.
A deposit holds the date. The balance is due before the event. Exact terms are written into your agreement.
Tech rider basics
A wireless lavalier or headset microphone, a confidence monitor where possible, and a slide clicker are the usual requests.
Slides are provided in advance in 16:9 format. Your speaker will confirm any specifics on the prep call.
Virtual and hybrid production
Every speaker on our roster delivers virtually from a professional setup with good lighting, audio, and a stable connection.

Cancellation and rescheduling
Plans change. Our agreements spell out what happens if an event is postponed or canceled, and we always try to reschedule first.
If a speaker ever cannot attend due to an emergency, we work with you on a replacement from the roster or a virtual option.
